At XpertCarRental, our goal is to provide a seamless, reliable, and transparent car rental booking experience. This Fulfillment Policy explains how we process your reservation, confirm your booking, and deliver essential rental documents and support throughout your rental journey.

Booking Confirmation Process

When you make a reservation through XpertCarRental, the following steps are taken to confirm your booking:

  • Instant Acknowledgment: You will receive an email acknowledging that your booking request has been received.
  • Provider Verification: We validate availability and pricing directly with the selected car rental provider or consolidator.
  • Final Confirmation: Once verified, you will receive a final confirmation email containing your booking reference, vehicle details, rental terms, pickup instructions, and payment summary.

This process is typically completed within a few hours, but in rare cases may take up to 24 hours depending on the provider and location.

Delivery of Rental Documents

All rental-related documentation will be delivered electronically to the email address provided during booking. This includes:

  • Booking confirmation with rental voucher
  • Pickup location details and timing
  • Rental provider’s terms and conditions
  • Instructions on what identification and documents to bring

It is your responsibility to review all details and ensure their accuracy prior to pickup. If you do not receive your documents within the expected time, please contact our support team immediately.

Payment Fulfillment

All bookings must be paid in full or in part (if applicable) using an accepted payment method at the time of reservation. Once your payment is successfully processed:

  • You will receive a payment receipt and invoice via email.
  • Your booking will be forwarded to the rental provider for final approval.

In cases where partial payment is allowed, the balance must be paid directly at the rental desk upon vehicle collection, subject to the rental provider’s policy.

Rental Vehicle Pickup

To collect your rental vehicle, you must present:

  • A valid driver’s license (in English or with certified translation)
  • A credit card in the name of the main driver
  • Your booking confirmation or rental voucher (digital or printed)

Failure to present these documents may result in refusal of service by the rental provider, and no refund will be issued.

Modifications and Cancellations

Changes or cancellations must be requested prior to the pickup time and are subject to the terms of the rental provider. Cancellation fees may apply based on:

  • Timing of the cancellation request
  • Type of rental rate selected (refundable vs. non-refundable)
  • Supplier policies

Failure to Fulfill Reservation

In the rare event that we or our provider cannot fulfill your reservation due to inventory issues, operational errors, or supplier-side cancellations, we will:

  • Offer alternative vehicle options where possible
  • Issue a full refund if no alternatives are acceptable
